Q How long does it take before we can begin taking orders online with credit card processing? A Typically, the validation process for schools is 24-48 hours after submitting the information requested on the General Account Information Form. If necessary, this process can be expedited by contacting our Support Team toll-free, via phone at 866-650-2014 or by having your yearbook representative contact us. |

Q How do I change some information on my General Account Information Form. I can view the form from the School & Site Administration page, but it will not allow me to make changes. A The reason the system is not allowing you to make changes is a security issue-a very high priority at PurchaseYourYearbook.com. Once the General Account Information Form is submitted for validation, it is viewable, but not editable by the school. This is to prevent unauthorized changes to vital information about your account. All changes, after a form is submitted, must be made by Yearbook Management Systems personnel from our offices. If you require changes to the account, please call our Support Team, toll-free at 866-650-2014 or via an e-mail from the Advisers e-mail address as listed on the General Account Form. |

Q How much is the annual fee for using PurchaseYourYearbook.com services? A There is no annual fee associated with using our services. |

Q If there is no annual fee, how do you make money? A The mission of Yearbook Management Systems LLC is to make business side of yearbook easier, faster, and more efficient. Therefore, our business is based on volume and transactions. Each purchaser is charged a nominal convenience fee based upon the total cost of the order. Currently, the convenience fee is set at 7.75%. |

Q Do I have to sign a contract to use PurchaseYourYearbook.com services?
A
There is no
contract involved in using our services, and you can stop using our
services at any time. Simply stop telling your constituents to go to
PurchaseYourYearbook.com. We do, however, require you to accept our
Terms of Service which are posted at the bottom of the General
Account Information Form and as a link, which can be accessed from
the Learn about PYY button at the bottom of every page on the site. |

Q Just checked the site, and it says, "it is past ordering deadline." A To return your order page to active status, go to Enter/Edit Products in the School Administration Section. Click on School Yearbook. Toward the bottom of that form you will see Expiration of Yearbook Availability. Set that date to a date later than today's date. Be sure to click the Save Product Information button. |

Q Can we sell yearbook packages online? A At the present time, we do not support a fully-featured yearbook package option. Since you are free to customize the product area to your specific needs, you could build a package anyway you like. However, please understand that the items in your package will not be individually monitored by the sales reporting function. Therefore, if, for example, your package included a cd, and an autograph section, none of those items including the yearbook would be added to the sales report for those individual items. Thus, if you sold 60 yearbooks, 12 cds, 1 autograph section, and 10 packages were sold, you would have to manually adjust your order upward for each of the individual items, i.e. 70 yearbooks, 22 cds, and 11 autograph sections. |

Q Can we sell more than yearbooks? A Yes, you can sell up to seven fully configurable custom products. Additionally, you can sell up to eight parent/specialty advertisements, and eight business advertisements. All products and advertisement offerings are fully configurable from the Enter/Edit Products section in the School and Site Administration area of the PurchaseYourYearbook site. |

Q How do we make changes to an online order? A Online orders are processed and the purchasers account is charged in real time, thus changes can only be made by contacting our Support Team toll-free, via phone at 866-650-2014 or by e-mailing support@ymspowered.com. |

Q How do I make changes to an offline order? A An offline order can be changed easily in the system by performing an order lookup from the Reports section to access the datafile and making the necessary changes. The sales report function will record all changes in realtime. Additional charges or refunds will need to be handled directly with the purchaser. |

Q How do I check to make certain that personalizations are appropriate? A The Distribution Report lists all orders including the items purchased and personalizations. Use this report either online or in printed form to review all lines of personalizations. |

Q Can we obtain the students homeroom teachers name with the order? A Yes. The general product configuration panel offers the option of requesting the homeroom teachers last name. When selected, this question must be answered at the time of purchase, and will appear on the Distribution Report. This report can then be sorted by homeroom teacher, printed and provided to the teacher for easy distribution. |

Q Can we continue to sell other items on the site even though our yearbooks sales period is over? A Yes. On the date you entered for Expiration of Yearbook Availability on the yearbook configuration page, your order page will be removed from the site and a generic form will be displaying stating that sales have concluded for this year. This prevents an overselling situation. However, if you would like to continue selling other items, simply go to the Yearbook Configuration page anytime after yearbook sales are over and select "No" under the section "Include on your shopping cart's order page" and your other items will remain for sale. |

Q The price of our yearbook changes as the year progresses. Can we do this automatically? A If you wish the price of the yearbook to change during the course of the year, you can preset those prices in the Yearbook Configuration window. In addition to the Basic Price (the highest price you will charge for the book) you can preset up to three secondary prices with start/stop dates. When the actual date reaches the dates selected, the yearbook price will automatically change to reflect what you have entered. |

Q Can we manually enter e-mail addresses and send out e-mail campaigns using PurchaseYourYearbook.com? A We do not currently support manual entry of e-mail addresses. However, we are in the process of enhancing our e-mail support to include the manual entry of e-mail addresses by yearbook staff members, as well as, the ability to upload address information in the form of comma separated value files (.csv) which can easily be produced from Excel® spreadsheets, and other Windows-based programs. Additionally, in the future, we will provide a library function so that you may enter various e-mail messages to hold on file for your use. |

Q Can we sell yearbooks from prior years? A The easiest way to sell yearbooks from previous years is to add the book as an additional product from the Enter/Edit Products window. You can enter up to three additional products on the order page. |

A At the present time, we do not support special pricing for Senior class members. However, you can create a Senior class discount coupon code (see School & Site Administration/Discount coupons.) If using a discount coupon for Seniors, we recommend preparing a separate report of all Senior class members at the time of distribution for cross-checking purposes. |

A Yearbook Management Systems LLC is a registered Limited Liability corporation licensed by the State of New Jersey. Although we are relatively new to the yearbook and educational community, we are in this business for the long haul. The registered location of our business is posted on the site, along with the names and photos of our company officers. Additionally, we release funds to the school or the yearbook publisher (based upon your selection when signing up) during the first week of every month. We do not retain your funds for more than 30 days. |

Q My yearbook publisher requires us to provide all orders with personalization in the form of a datafile on CD-rom or as an upload to their online system. How do we get that information from PurchaseYourYearbook.com? A Our system is 100% customizable to virtually every yearbook publishing companys requirements. We are able to provide upload data streams directly to any system (major publishing companies are already in place), as well, we provide the ability for schools to create csv datafiles quickly and easily, in most cases via a single push of a button. If your publisher has specific requirements that are not currently part of our system, we will work with them to provide the necessary mechanism. Transfer of your data to the publisher is guaranteed. |

A Unlike some yearbook publishing companies that provide online ordering with credit card processing during only specified times (usually until the personalization period ends), PurchaseYourYearbook.com is available for use 24/7/365. That means, you can continue to use our online ordering process, credit card processing, electronic check processing and every other function all year long. Even after the current years yearbook sales are over, you can continue to use the site to sell other school-related products. |
